Self-Service Resources for Event Promotion and Additional Marketing Support

Strategic Marketing & Communications offers a variety of self-service resources for event promotion and additional marketing support.  Please reach out to your Marketing Strategist if you need additional support for your upcoming event. Our goal is to help make your event a success!

Event Registration (we recommend registering your event at least 2 months prior)

  • For on-campus events, space bookings can be secured through the Event Scheduling Office
  • Complete the Event Build Request Form to setup ticketing for your event (contact Ticketing Services with any questions)
    • If Ticketing Services is unable to provide registration for your event, we can provide an option through Formstack, which is our campus-wide form system to gather information
  • If you would like to share a post-event survey, please use Qualtrics. This campus-wide survey tool provides great reporting options for you to interpret responses and feedback.
  • Create or update an event listing on events.chapman.edu – events.chapman.edu is the official calendar of Chapman University. Internal location listing is fed from 25live (event scheduling software) directly, or for external locations, added to the calendar directly.  You can use this events.chapman listing to share your event with internal and external audiences.

Event Promotion (we recommend starting to promote your event 3-4 weeks prior) 

  • Create a Cascade webpage (for recurring events)
  • Flyer Template – Download editable pdfs for Chapman branded flyers
  • Here are some suggested channels to help promote your event (based on audience):
    • Current Students
    • Staff and Faculty
    • School/College/Department
      • Emails are transitioning to Salesforce Marketing Cloud in 2022.  We recommend an announcement email, at least one reminder email, and a thank you email for attendees.  Make sure to include event details, registration information, and a landing page that includes more information.
      • Share your event on your school/college/department blog (pre- and/or post-event)
      • We recommended starting to promote your event on your school/college/department social channels 2-3 weeks prior. You can share your events.chapman listing and/or an evergreen cascade page with event information. For social media questions, please contact Tod Brewster.
    • Alumni (institutional)
      • Alumni e-newsletter (sent on the 2nd Tuesday of every month – please submit content by the 15th of the month prior)
      • Alumni social media
    • Parents and Families
      • Parents and Families e-newsletter (sent on the 1st of every month – please submit content by the 15th of the month prior)
      • Parents and Families social media
    • Local City of Orange Community 
      • Neighbor to Neighbor printed newsletter and emails (bi-monthly)
    • Prospective students (undergraduate and graduate)

    • Promote your event to the public – To request a press release or a calendar listing, please contact Cerise Valenzuela Metzger
  • Send us your story ideas – Keep SMC informed about upcoming story ideas or share one with us to possibly amplify on our channels
